1. Introduction

Level 8 Systems LLC ("Level 8," "GTMA.Solutions," "we," "our," or "us") operates the GTMA.Solutions platform (the "Platform"), software that helps martial arts schools and organizations manage memberships, scheduling, billing, e-commerce, belt testing, and related operations. This Privacy Policy explains what information we collect, how we use and share it, and the choices available to you. By using the Platform, you agree to this Privacy Policy and our Terms of Service.

2. Information We Collect

We collect information you provide directly to us or that a school/organization provides on your behalf, including:
  • Contact and account information: name, email address, mobile phone number, role, and login credentials
  • School and staff information: business name, address, staff records, and permissions
  • Member and billing information: membership status, belt rank and testing history, attendance, and billing details processed through our payment partner, Stripe (we do not store full card numbers)
  • Communications: information you send us, such as support requests
We and our service providers may also automatically collect certain technical information when you use the Platform, such as IP address, browser and device type, pages visited, and timestamps, using cookies and similar technologies, to help operate, secure, and improve the Platform.

3. How We Use Information

We use collected information to:
  • Provide, operate, maintain, and improve the Platform
  • Process payments, billing, and wholesale/retail pricing between Level 8, GTMA Organization, schools, and members
  • Send account-related notifications by email and, where a mobile number is provided, by SMS text message including pricing review alerts, billing notices, and other operational updates
  • Provide customer support and respond to inquiries
  • Detect, prevent, and address fraud, security issues, and technical problems
  • Comply with legal obligations
We do not use your information for third-party advertising, and we do not sell your personal information.

4. SMS / Text Message Communications

If you provide a mobile phone number in your account or staff profile, you may receive account-related text messages from GTMA.Solutions, including notifications about pending pricing reviews and other operational alerts relevant to your role.
  • Your mobile number is not shared or sold to third parties for marketing purposes.
  • Message frequency varies with account activity; under normal use you should not expect more than a few messages per week.
  • Message and data rates may apply, depending on your mobile carrier and plan.
  • You may opt out at any time by updating your phone number or notification preferences in your account settings, or by replying STOP to any message. Reply HELP for assistance, or contact us at suppport@gtma.solutions.com

We do not use your information for third-party advertising, and we do not sell your personal information.

6. Data Retention

We retain your information for as long as your account is active and as needed to comply with legal obligations, resolve disputes, and enforce our agreements. Information shared with a school or organization through the Platform is also subject to that organization's own recordkeeping.

7. Your Choices and Rights

You may access or update most of your account information by signing into your account. You may request access, correction, or deletion of your personal information, or opt out of SMS notifications, by contacting us at [SUPPORT EMAIL]. If you are a resident of a US state with a comprehensive privacy law (e.g., California, Colorado, Virginia), you may have additional statutory rights to know, correct, or delete personal information we hold about you; you may exercise these rights using the same contact information. Exercising these rights will not result in different pricing or reduced service quality.

8. Children's Privacy

The Platform is intended for use by school staff, administrators, and adult members. It is not directed to children, and we do not knowingly collect personal information directly from children under 13 without verifiable parental or guardian consent. Where minors participate in a school's programs, their information is provided and managed by a parent, guardian, or the school itself acting on the family's behalf.

9. Security

We use reasonable administrative, technical, and physical safeguards designed to protect the information we collect. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10. Data Location

The Platform is hosted and operated in the United States. If you access the Platform from outside the United States, your information will be transferred to and processed in the United States, which may have different data protection laws than your home jurisdiction.

11. Do Not Track

Because there is no common industry standard for how to respond to browser "Do Not Track" signals, we do not currently respond to them.

12. Changes to This Policy

We may update this Privacy Policy from time to time. Updates will be posted on this page with a revised "Last updated" date, and continued use of the Platform after changes take effect constitutes acceptance of the revised policy.
